What is SmarTime

SmarTime is a state of the art, clocking system, created by Namibians, for Namibians.

 

With SmarTime implemented, your staff simply clocks at one of our devices, and the hours gets processed accurately and reported correctly, already split into:

  • Normal hours

  • Overtime hours

  • Double time hours

  • Night-Time hours

  • Shifts worked

  • Late arrivals

  • Leave taken

 

The software is extremely user friendly and very easy to use, even if you’re not computer literate.

 

Major Features of SmarTime

  • Hours calculated (Normal, Overtime, Sunday time and Night-time)

  • Shifts taken into account when doing calculations

  • Absence detection

  • Late comers / early leavers reporting

  • Leave & public holiday

  • Data available live, by the click of a button

  • Hours can be exactly the way that the staff clocked, or can be rounded

Payroll integration

SmarTime can integrate with the following payroll packages:

  • Pastel Payroll

  • VIP Payroll

  • D-Bit Payroll

  • Oranje Lone

 

Explanation of how the integration:

 

In SmarTime, you link your employees to the employees in your payroll application by means of the payroll number. SmarTime then does the calculation of hours which is provided to the payroll application by means of a batch file.

The payroll administrator then does a simple import of the batch file to complete the payroll process - no more capturing

What if you need a feature that we do not have in SmarTime?

SmarTime is Binary City’s own product - and the greatest benefit of this, is that our clients are not restricted to features that are required in SmarTime.

Most notably, this device is IP65 related, which allows for implementing both indoors and outdoors. This device is perfect for time & attendance as well as physical security implementations both indoors and outdoors.

The IN01-A / RFID is our most popular device, in use by most of our clients. The device is robust, accurate, reliable but most importantly, affordable. This device is perfect for time & attendance implementations indoors.

The more advanced MB700 can additional to fingerprint and RFID cards, also do face recognition. This device works brilliantly for those employees that work in the construction industry, or even in workshops where fingerprints often fail.  This device is perfect for time & attendance as well as physical security implementations indoors.

Clocking Device Overview: VF380

The VF380 is the small version of the MB700 above. The device only accept facial recognition and RFID cards. This device works brilliantly for those employees that work in the construction industry, or even in workshops where fingerprints often fail.  This device is perfect for time & attendance indoors.

Clocking Device Overview: S922

The S922 is a portable device. The device accepts both fingers and RFID cards. This device has a 7600 mAh built in battery, so this is perfect for remote sites where power is not available, where staff would clock on site, and the device simply comes to the office to download the attendance data.

Security and audit trails

Each individual that will be using SmarTime will be allocated a unique username and password to access the system. The administrator of SmarTime can decide which user is allowed to have access to which functions in SmarTime.

 

Everything that a logged in user does in SmarTime is logged in much detail. Please see example reporting below of this:

 

System requirements and database architecture

  • SmarTime a desktop client / server application that must be installed on a Windows 7 or higher computer.

  • SmarTime’s database back-end runs on Microsoft SQL Server 2008 R2 Express or higher

  • There is no limit to the amount of computers that you can link to a single SmarTime installation

  • There is no limit to the amount of clocking devices that you can link to a single SmarTime installation

 

Minimum server requirements:

  • Hard Disk space: 20GB for Operating System, 10GB for Data (Recommended: 20GB for Data)

  • Memory: 4GB Ram

  • Operating system: Windows 7 Professional (Windows Server 2008 R2 Recommended)

  • Database server: Microsoft SQL Server 2008 R2 Express or higher

  • The server can be virtualised

 

In a standalone environment, a Windows 7 computer running both SQL Server 2008 R2 database engine as well as the SmarTime client, will be sufficient.

 

Network requirements:

  • A static IP address is required for each of the SmarTime clock-in / clock-out devices

  • Network connectivity is required between the SQL Server, the SmarTime client(s) and the SmarTime clock-in / clock-out devices

 

Recommended: The server machine running SQL Server 2008 R2 should have a static IP address, with the name of the server properly registered in DNS

 

Backups:

  • SmarTime will prompt the user to create a backup file whenever the system is closed. This will create a standard Microsoft SQL Server 2008 R2 backup file on the server which can then be included in the existing backup solution of the client

 

Connection type options:

 

The system can be setup to run in one of three ways.

Option 1:

  • SQL Server installed on a server machine

  • SmarTime Client installed on desktop/laptop machine(s) connecting via the network to the

 

Option 2:

  • SQL Server and SmarTime client installed on a server machine running Windows Server

 

Option 3:

  • SQL Server and SmarTime client installed on a desktop/laptop machine

  • SQL Server machine

  • 2008 R2 with Terminal Services

 

SmarTime is designed to run in a network environment. The diagram below illustrates setup on a Local Area Network with three SmarTime clock-in / clock-out devices.

 

SmarTime can easily be integrated over a wide area network combining information coming from the various SmarTime devices into a single database. A typical setup in such a case is illustrated below:

 

SmarTime communicates via the TCP/IP protocol to communicate between the SmarTime software, the SmarTime clock-in / clock-out devices and the SQL server. The ports are indicated on the illustration below.

 

 

Linking of branches

SmarTime is designed so that you can link branches to a single installation and report centrally. There are various ways to do this, but find below an example diagram that we often implement:
